Contracts Administration Associate (Remote Eligible)

Position Description:
Mathematica is seeking a Contracts Associate to join our Business Operations group! The Contracts Associate will work under the supervision of the Contracts department leadership team in the administration of contracts. Performs a variety of tasks to support Contracts operation and services delivery, primarily with respect to federal, state and local government contracts (e.g., HHS, DoED, USDA, DOL). The portfolio also includes foundation and commercial contracts. 

• Perform contract and subcontract administration support tasks by engaging with internal and external stakeholders, including contract closeout activities, coordinating contract review and execution, research, and drafting correspondence such as 75%/85% limitation of funding letters, key personnel change request letters, labor category change requests and other required notices.
• Assist in the drafting and review of agreements critical to supporting the Contracts function, such as modifications, subcontracts, non-disclosure agreements, teaming agreements and other contract documents.
• Provide guidance and feedback to project teams relating to monitoring contract and subcontract costs, compliance with terms, and  communicating contracts policies and processes with staff throughout Mathematica to enhance cross-functional understanding of Contract processes and teamwork.
• Maintain and update the contract management system to ensure accuracy and to incorporate changes.
• Assist with the preparation and submission of administrative and other reports to and from federal agencies and as required by clients and auditors.
• Support Contracts administration, including internal cross-functional meetings (e.g., project teams, finance, procurement, legal, and accounting), partnering with Legal Operations, onboarding coordination, and maintaining internal content sharing (SharePoint, intranet and other).
• Support the development of Contracts processes and procedures and analyze opportunities for improvements and efficiency gains.
• Participate in and manage special Contracts projects and organizational initiatives.
• Actively support the advancement of organizational diversity, equity, and inclusion efforts, and apply diversity, equity and inclusion lens across job responsibilities.
• Additional duties may be assigned as needed.

Position Requirements:

• Excellent written and verbal communication skills
• Willingness to take on challenges, eager to learn new subject matter, capacity to learn new systems quickly, and ability to think creatively about how to continuously improve.
• Accuracy with work, strong organizational skills, and attention to detail.
• Ability to deal tactfully and diplomatically with others.
• Flexibility to handle multiple priorities, sometimes simultaneously, under deadline pressure.
• Ability to work independently for prolonged periods of time.
• Willingness to travel to other locations as necessary.
• Proficiency with Microsoft Word, Excel, Outlook, PowerPoint
• Familiarity with contracting/subcontracting (preferred)

Education minimum requirement:

• A BA/BS degree in business administration, liberal arts, or related field.
• A combination of equivalent education and work experience may be substituted for the above requirements.

Years of Relevant Experience:

• At least 0 – 2 years

This position offers an anticipated annual base salary range of $50,000 - $63,000.
